Edit Individual Data is a new functionality that has been introduced in Outmatch to allow clients to edit individual data if they entered incorrect information. This feature is introduced especially to allow transactional clients to correct misconfigured assessments and not to be charged any additional credits by retaking assessments. With this feature, they can correct the PII information allowing the individual to continue the original assessment rather than starting a new one taking up another assessment credit.
Note: Instead of Candidate, we are using Individual everywhere because some assessments could be taken under a development context rather than a Selection context. If taken under the Development context, then they are already within the company, so the word “candidate” does not really apply.
Description
A new edit icon is introduced to allow the recruiters to modify an individual’s data (see the red box in the image below).
When Talent Dashboard user clicks on the Edit icon, a new modal will open where they can edit individual’s PII.
This feature allows clients to edit individual data, i.e. First Name, Last Name, and email-id from the People page in the client account. There are certain limitations or use cases as when this can be done or not done:
- If an individual is in the stage “Not Started”, and recruiter changes their email id, a new invitation email/ will be sent to the candidate to take the assessment.
- If the individual is in stage “In-progress “, a reminder email will be sent to them to complete the assessment. No new assessment has to be started in this case; individual should be able to complete the assessment from where they left off.
- For a candidate who has completed the assessment, along with First name, and last Name recruiter can also edit their email id too. This will not trigger any new email to the candidate; it will simply update their data in the reports.
- Individual's data cannot be edited if the data is anonymized. No edit icon will be visible in this scenario.
- If an Individual’s records were created via an integration, their data cannot be edited. We do show the popup with language indicating that the assessment originated from an ATS and is not subject to editing.
- The recruiter should not be able to change the individual's email to one that already exists for that client.
