Best Practice Guidance - Jobs
Jobs are the mechanism by which Hiring Representatives survey and organize candidates - whether it be for the purposes of candidate management or reporting. And, just like with Hiring Profiles, there will be times when creating a new Job makes business sense:
- You are building a new Hiring Profile and you must have one new linked Job.
- The Jobs currently available to you don't align with how you need to organize and survey candidates.
- The Jobs currently available to you don't meet your needs for reporting.
In scenarios when it does make sense to create a new Job, it's important to plan at the point of Job creation for your future reporting and survey needs. Because of this, prior to creating any Jobs for the first time, we recommend you review the best practice information below.
What to consider when creating Jobs
Keep it simple. Don't just create a new Job because it's easy. By limiting the number of Jobs created, you will minimize the likelihood of posting an incorrect Job. Plus, the less Jobs you create, the more streamlined your dashboard will be.
You can check to see if a Job already exists by using the search and filter capabilities on the Jobs screen within your dashboard.
Align to a Job family.
Multiple Jobs can be built from a single Hiring Profile. When you do this, you are essentially building out a family of Jobs. The ability to align Jobs is very useful for reporting purposes, especially if you want to be able to generate reports for a group of Jobs.
For example, you could build out a Front of House Restaurant Job family that includes Servers, Bartenders, and Hosts. Although these three roles may share a Hiring Profile, they are operationally very different, which justifies the need to create three distinct Jobs within your dashboard.
Be cognizant of where the Job 'lives' within your account structure. Where you place a Job in structure will affect your analytics output. Also, where you place a Job determines which users in your account have access to posting that Job. Whenever possible, only provide access to those individuals who need to review reports and/or manage the survey process.
The linked Hiring Profile is important. A Job inherits all of the characteristics of the linked Hiring Profile. As such, it will also inherit future changes made to the linked Hiring Profile.
Jobs are not requisitions. Avoid creating the same, new Job for every location or department. If you need to hire specific to a location or business unit, manage that need through your account structure and dashboard filters, not by creating new Jobs.
Pay attention to the Job status. When a Job is created, it is placed in Active status by default. We recommend reviewing your list of Active Jobs once a month to see if any should be Deactivated.
